Time zone settings for due dates are one of the few configuration choices that quietly corrupt data if left wrong. A payment due date recorded in the wrong zone can land on the wrong day entirely. Where the problem shows up Time zone errors rarely announce themselves. They appear as
To design roles and permissions, you define access by function rather than by individual. Each role carries its own rules, and people inherit them by being assigned to it. Why per-person permissions become unmanageable Configuring access individually works until the third or fourth hire. * New joiners needing access replicated
To add and manage users, you invite each person by email, choose their seat type, and assign a role. The role is what determines what they can actually see and do. Why seat and role decisions matter early Access set up casually at the start becomes difficult to unwind once
To use the action bar, press the shortcut and type what you want. It creates apps, tables, and automations, navigates to folders, clones apps, and downloads data — without hunting through menus. Why menu hunting slows everyone down The cost of not knowing where something lives is paid every single time
To set up your workspace, start with three things before building anything: learn the navigation bar, set the appearance, and understand how apps and tables are created. Why people stall in the first week New platforms are usually abandoned in the first few days, and almost always for the same
The difference between apps and tables is the first thing to understand about a no-code operations platform. A table holds the data in rows and columns; an app is the visual layer that decides how that data is presented. Why the distinction matters immediately The difference between apps and
To organize internal projects into folders, you group the tables and apps belonging to one process together. It sounds trivial until a workspace holds fifty of them. Why workspaces become unnavigable Internal platforms grow one useful tool at a time, and nobody stops to reorganize. * Tables from unrelated processes listed
Cost allocation across departments works when every expense references a real cost centre record. Reporting by department then becomes a filter rather than a reconstruction. Why departmental reporting is usually painful Allocation is often applied at closing, by someone interpreting descriptions written weeks earlier. * Expenses allocated retrospectively, from memory * Departments
To manage vacation and reimbursement requests, both need the same three things: a structured submission form, a routing rule that sends it to the right approver, and the supporting evidence attached to the record. Why these requests generate so much chasing They are low-value individually and constant in aggregate,
Using sequential IDs for records means each new row is numbered automatically rather than named by hand. For operational records like payments and requests, that is usually the right choice. Why free-text naming causes friction A title field that someone has to fill in is a title field that
To build a financial BPO workflow, you combine four pieces: a supplier registry, an accounts payable table, OCR reading incoming invoices, and automations moving payments through to completion. What a financial BPO actually handles The service is straightforward to describe and laborious to run manually. * Invoices arriving from many clients
Using a currency field rather than a text field is not a formatting preference. Formulas and automations cannot sum text, so a value stored as text is a value you cannot calculate with. The mistake that breaks reporting later Typing an amount with its symbol into a text field looks
